How Much Does an AI Chatbot Cost? The Four Bills to Budget
AI chatbot cost in 2026: platform plans, model cost per conversation with the math shown, WhatsApp and SMS fees, builder rates and costs after launch.

Someone on r/automation asked how freelancers sell AI chatbots for a one-time $100 to $500 when the tools underneath, such as Voiceflow, Make and n8n, bill every month. Who pays for those subscriptions?
Two replies answered it. One freelancer charges once for the setup and leaves the subscriptions to the client, on the client's own accounts. Another folds tools, deployment and management into a monthly retainer, then hands every account and its billing to the client when the work ends. Both are honest. The gig to avoid is the cheap one with no answer to the question.
A chatbot, then, has four bills: the build, the platform, the model usage and the channels. On the vendor pages below, a packaged chatbot plan runs $40 to $500 a month and a GoHighLevel AI plan $50 or $97 per location. Model usage comes to cents per conversation on my assumptions, and the build is whatever the builder's hours add up to. The surprises come after launch.
What do the chatbot plans cost?
| Option | Listed price | Not included |
|---|---|---|
| Packaged website chatbot (Chatbase) | Hobby $40 a month for 700 message credits, Standard $150 for 4,000, Pro $500 for 15,000. Yearly billing takes 20% off. Extra credits $40 per 1,000 | Your time to load content and test the answers |
| Chat agent inside GoHighLevel (HighLevel AI pricing) | AI Employee Growth $50 a month per location with 1,000 agent responses, Unlimited $97 subject to fair use, or pay-per-use billed on tokens | Setup, plus texting fees for SMS |
| Custom agent on n8n or code | Your own server or n8n Cloud, plus model usage | Mostly builder hours |
Plans change, so check each page before you budget. HighLevel's article showed a modified date of October 13, 2026 when I read it.
What does the builder cost?
Builder rates are the hardest number to source honestly. The most detailed page I found comes from Second Talent, a staffing vendor that sells developer placements, so read it as a seller's view. Its rate page for AI agent developers, updated September 24, 2026, lists US freelance rates of $119 to $185 an hour at mid level and $155 to $235 at senior level, with agencies at $230 to $380 for mid level. For Latin America it lists $62 to $96 an hour for mid-level freelancers, marked as vendor data.
Run the opening gig through those numbers. At $119 an hour, $500 buys about four hours. That is a template with your logo on it, not an agent wired into your calendar. The vendor's page itself says scope, not rate, is what usually moves a quote.
How much does the model cost per conversation?
HighLevel's article lists token prices per million tokens, input and output, for the models its chat agents use. It does not mention a markup, so I used the listed prices as they are. The rest are my assumptions, so change them to match your own logs:
- A conversation has 10 agent replies.
- Each reply sends about 3,000 input tokens (instructions, knowledge and chat history) and generates about 150 output tokens.
- One conversation is therefore 30,000 input tokens and 1,500 output tokens.
- Cost per conversation = 0.03 x the input price + 0.0015 x the output price, with both prices per million tokens.
For GPT-5 Mini that is 0.03 x $0.25 + 0.0015 x $2.00, or $0.0075 + $0.003 = about $0.0105.
| Model (HighLevel's listed price per million, input / output) | Cost per conversation | 1,000 conversations a month |
|---|---|---|
| GPT-5 Mini ($0.25 / $2.00) | about $0.0105 | about $10.50 |
| GPT-5 ($1.25 / $10.00) | about $0.0525 | about $52.50 |
| GPT-4.1 ($2.00 / $8.00) | about $0.072 | about $72 |
The input side dominates. A long knowledge base pasted into every reply multiplies the 3,000-token figure, so a bot at 300 conversations a month lands anywhere from about $3 (GPT-5 Mini) to about $22 (GPT-4.1) on these assumptions. The model is rarely the big line.
The same math shows when a flat plan pays off. HighLevel counts agent responses, so the Growth plan's 1,000 included responses cover roughly 100 conversations of 10 replies. Against pure pay-per-use, the $97 Unlimited plan wins only above about 1,350 conversations a month at GPT-4.1 prices, about 1,850 at GPT-5 prices and about 9,200 at GPT-5 Mini prices ($97 divided by each cost per conversation). Fair use terms apply, so read the page before you buy.
What do the channels add?
- WhatsApp. Meta has charged per message since July 1, 2025, and on October 1, 2026 it widened what it charges for. Per its pricing page (updated September 30, 2026), delivered templates are billed at rates set by category and the recipient's country. Service messages, the free-form replies your bot sends inside the 24-hour customer service window, are now billed too, after 1,000 free ones per business phone number each month, and utility templates sent inside that window are no longer free. Meta's explainer on the change confirms the October 1 start. For a chatbot, that means every WhatsApp reply past the first 1,000 a month is a line on the bill. The page links rate cards rather than listing dollar amounts, so read the one for your market and check the billing view in WhatsApp Manager.
- SMS. In the US it needs carrier registration first, which my GoHighLevel A2P guide covers. Abroad, texts can be expensive: SMS to the Dominican Republic cost $0.1308 per segment on one clinic build, with no local numbers available, so I made it WhatsApp-first.
- Web chat and Instagram. I have not priced these here, because fees depend on the platform you run them through. Ask your builder to list every per-message or per-conversation fee in the quote.
What will the quote leave out?
- Testing. One graded text run of my agent test suite costs about $0.23, a chat-only run about $0.003, and a phone run about $1.80. The runs are cheap. Writing the cases and reading the results is the real cost, and someone has to own it.
- Replies nobody needed. For an online English academy, the stock GoHighLevel bot answered every DM, including emojis, "mi amor" and automation echoes. I put a small free classifier in front of it. On a plan that counts responses, I would expect every one of those empty replies to count.
- Upkeep. Models get retired, platforms change prices and a form field gets renamed. I break this down in AI agent maintenance.
- Account ownership. If the freelancer's account runs your bot, you pay again to leave. Ask for every account in your name, as in my AI chatbot developer scorecard.
Can you set one up yourself?
Yes, when the bot answers questions from pages you control, volume is low and a wrong answer costs you little. Load your real prices and hours, ask it ten awkward questions and read the transcripts for a week.
Pay a developer when the bot writes to your calendar or CRM, works across several channels or touches money. Those tools are where bots fail. For the voice side, see what an AI receptionist costs. For WhatsApp in particular, see WhatsApp chatbot cost, and for n8n builds, how much an n8n developer costs.
FAQ
How much does an AI chatbot cost per month?
On the pages above, a packaged plan starts at $40 a month ($32 on yearly billing) and a GoHighLevel AI plan at $50 per location. Add model usage, channel fees and any maintenance retainer.
How much does one conversation cost?
On my assumptions of 10 replies, about 3,000 input tokens and 150 output tokens each, about one cent on GPT-5 Mini and about seven cents on GPT-4.1. Your knowledge base size and reply length move that most.
Is a $500 one-time chatbot realistic?
For a simple bot that answers from a web page, yes. For one that books on your calendar and survives edge cases, the hours do not fit that price.
Who should pay for the subscriptions?
You, on accounts in your name, or through a retainer that lists them and hands them over when it ends.
Does WhatsApp charge per message?
Yes. Meta charges per delivered template, and since October 1, 2026 it also charges for service messages (replies inside the 24-hour window) after 1,000 free per business phone number each month, per its pricing page updated September 30, 2026. Check your actual rates in WhatsApp Manager billing.
Can I try a chatbot before paying a developer?
Yes. Chatbase offers a 7-day trial on its paid plans, and a test contact on your own phone shows a lot. Check every booking against your calendar.
