Fixed-scope account setup
GoHighLevel Setup Done Once, Tested, and Ready for Real Leads
I'm Carlos Familia, and this is my fixed-scope GoHighLevel setup for a US service business with an empty account, or one that never got finished. I build the pipeline, calendars, forms, texting registration and first automations, test each one, and hand you an account you can run. Choose a slot in the calendar below and we'll confirm the scope fits your account.
- Pipeline, fields, calendars and forms built around your real process
- A2P 10DLC filed first, with email covering the wait
- First automations tested on a test contact, logs read
- One specialist from kickoff to handover, in English or Spanish
What does the GoHighLevel setup include?
It covers what a service business needs before it can trust the account with a real lead. The list is fixed, so you know the finish line before we start, and every item ships with the test that proves it works.
Left out on purpose: AI chat and voice agents, integrations with outside software, and migrations from another CRM. Each is a separate job with its own testing. Those live under my GoHighLevel agency services, and code-level work under GoHighLevel developer projects.
- Account basics: business profile, time zone, users and permissions
- One pipeline with stages that match how you sell, plus custom fields and tags
- Custom values for business name, booking link and review link, edited in one place
- Calendars with real open hours, a working share link and confirmations
- Forms and Facebook lead form mapping, so every lead lands in the pipeline
- A2P 10DLC brand and campaign, plus the email sending domain
- First automations: speed to lead, missed call text back, reminders, no-show and review request
- Handover: a one-page map, the test log and a walkthrough
Why does a Go High Level setup break in the first month?
Usually because something looks finished and isn't. A credit repair firm's calendar had empty open hours, so nobody could book from the bot or the website, and nothing raised an error. At a life insurance agency in California, a user's personal work-hours schedule quietly overrode the calendar's own hours.
Leads go missing the same way. An insurance agency believed the leads for one of its products had stopped coming. Two Facebook lead forms had never been mapped, and once I mapped them, 39 stuck leads arrived within about three minutes, none of them firing a workflow. More in GoHighLevel Facebook lead form fixes.
Some settings block repeat business. A workflow saved without re-entry never runs again for a returning customer, so their second appointment gets no confirmation. An account clock on the wrong time zone sends every reminder at the wrong hour. I check these before the first lead arrives, using the symptoms in GoHighLevel workflow mistakes.
How is A2P 10DLC handled during setup?
Texting is the one part you can't rush, because carriers decide when it's approved. I fill in the brand from the IRS letter that confirms your EIN: legal name, EIN, entity type and registered address, all matching. The website needs privacy and terms pages that cover texting, plus an opt-in that a reviewer will accept.
Then I build while it's pending, so nothing depends on texts arriving. An HVAC company in California had its registration rejected, so its follow-up was set to send email first and hold SMS. A mortgage brokerage found that a Sole Proprietor brand covers one number: texts from the rest of the team failed with error 30034.
One rule holds in every setup: no step that cancels an appointment for a missing reply goes live before approval. If the confirmation text never arrives, nobody can reply, and every booking cancels itself. The mistakes behind these rules are in GoHighLevel A2P 10DLC.
Which first automations come with the setup?
The ones that cost you money when they're missing: an instant reply to new leads, a text back for missed calls, confirmations and reminders, a no-show follow-up and a review request after the job. Each one has a stop rule, so a lead who books, replies or changes stage leaves the sequence.
Small details decide whether they work. On a roofing build, homeowners confirm by replying YES or NO, and a NO cancels the appointment for them. An HVAC no-show recovery runs weekly for 12 weeks and stops on a rebook, a reply or a stage change. Review requests go to every customer; only the thank-you depends on the rating.
Every automation is tested before handover with a test contact that can't reach a real customer, and I read the run logs rather than trusting the publish button. That habit came from my own mistakes, written up in how I test GoHighLevel workflows.
Should you hire a setup service or do it yourself?
If you have the time and like settings screens, doing it yourself can work, especially from a pre-built snapshot. The HVAC Automation Pack and the dental Automation Pack are $22 GoHighLevel snapshots with the workflows already built and tested. You install them yourself, and the setup list above becomes your checklist.
A GoHighLevel setup service makes sense when a lost lead is expensive and your week is already full. You get a fixed scope, one accountable person and an account that was tested before a customer touched it. There's no team behind me, so the person on our first call is the person who builds your account.
From first call to handoff
- Send the intake: Before kickoff you send the basics: legal name and the IRS letter with your EIN, hours, services, staff, and who answers new leads.
- Map the stages: On a short call we turn how you sell into pipeline stages, fields and tags. Nothing gets built until the stages match your real process.
- File, then build: I file the A2P registration first so the approval clock starts early, then build the account while it's pending.
- Test every path: Each automation runs on a test contact, including the no-show, reply and reschedule paths. You get the test log with the results.
- Walk through and hand over: A walkthrough with you or your staff, a one-page map showing each workflow and its trigger, and admin access that is yours alone.
Work I have shipped
A new life insurance agency, 46 workflows
A life insurance agency in California started with an empty sub-account. It ended with 31 custom fields, 3 pipelines, 3 calendars and 46 live workflows in 23 stage folders. The integrity scan found 0 issues and execution tests passed 10 of 10. Read how it was built
HVAC foundation first, then 25 workflows
An HVAC company in California got its pipeline, fields, tags and calendars before any automation. Then 25 logic workflows went live with 0 failures, and the owner received a roadmap of 31 active workflows and 39 emails. Read how it was built
A roofing inspection pipeline
A bilingual roofing contractor in Kentucky needed a 10-stage inspection pipeline, numbered stage workflows, team alerts and confirmations by text reply. The fixes included sequences that blocked returning leads and an account clock set to Eastern instead of Central time. Read how it was built
A recruiting pipeline, tested end to end
A financial services agency needed a recruiting pipeline in a new main account: 12 workflows from candidate outreach to offer follow-ups. Two conflicting older workflows were disabled, and a test with 3 contacts produced 47 outbound events with 0 errors. Read how it was built
Questions before you hire
How much does a GoHighLevel setup cost?
I quote one fixed price for the setup after a short call, because the effort depends on how many services, staff calendars and lead sources you bring. There's no hourly meter running. For published market rates, see my notes on GoHighLevel expert pricing. If your niche has an Automation Pack, the $22 snapshot is the do-it-yourself route.
How long does a GoHighLevel setup take?
The build and the texting approval run on two different clocks. The build follows the scope we agree, and you get its dates in writing. Texting approval belongs to the carriers, and HighLevel's own guide gives no review time, so plan for weeks. Calls, email and booking work during the wait, so the account is useful before texting is approved.
Do I need a HighLevel account before we start?
It helps, and it should be in your name so you own the billing, the login and the data. If you buy through an agency, make sure you are the admin of your own sub-account. I join as a user with the permissions the setup needs, and you can remove me the day it's handed over.
Can the setup start from a snapshot?
Yes. A snapshot carries configuration such as workflows, pipelines, fields, calendars and forms. It leaves behind contacts, conversations, integrations and phone numbers, and texting registration is done per sub-account. So a snapshot shortens the build but doesn't replace the load checklist or the tests. The tradeoffs are in hire someone to build a GoHighLevel snapshot.
What do I need for A2P 10DLC registration?
Your legal business name exactly as the IRS letter shows it, your EIN, entity type and registered address, and a website with privacy and terms pages that cover texting. A Sole Proprietor brand covers one number, so a team that texts from several numbers needs a different brand type. Credit repair is a prohibited category, so that setup plans on WhatsApp and email.
I already started setting it up. Can you finish it?
Yes. I start by counting what's there: workflows, triggers, calendars, forms and numbers, and which of them actually run. What works stays, what's broken gets fixed or removed, and the rest of the setup list gets built on top. You get the count in writing before I change anything, so you can see what you had.
